Privacy Policy

1. Who we are

2. Information we collect

• Account information — such as your email address, sign-in details, display name, and plan.
• Meeting content — audio streamed for live transcription and coaching; transcripts, summaries, action items, speaker labels, and other meeting details you choose to keep. For paid speaker-labeling, we may briefly store encrypted meeting audio privately, run post-meeting speaker separation, then delete that audio (with a short automatic purge if processing does not finish).
• Calendar information (optional) — if you connect a calendar, we may receive schedule details such as event titles, times, and attendees. See section 4.
• Usage and billing — Live-minutes use, subscription status, and payment-provider identifiers. We do not store full payment card numbers.
• Device and log information — ordinary security and reliability information (for example IP address, browser or device hints, and error events).

3. How we use information

We use personal information to:

• Provide and secure your Veyl account
• Run transcription, coaching, summaries, speaker labeling, and task features you use
• Show your schedule and help you link captures to meetings when a calendar is connected
• Meter Live minutes, process subscriptions, and prevent abuse
• Respond to support requests and keep the service reliable
• Comply with law and enforce our Terms

We do not sell your personal information. We do not use your calendar or meeting content for advertising or data brokering.

4. Connected calendars

You sign in to Veyl with email and password. Separately, you may choose to connect a calendar so Veyl can show what’s coming up and help you organize captures around those meetings. Connecting a calendar is optional.

You can connect Google Calendar and Microsoft Outlook. Connecting works the same way for both: you approve access on that provider’s permission screen, and you can disconnect at any time. Free accounts can connect up to 2 calendars; paid accounts up to 10.

When you connect a calendar, we only ask for what we need to identify the account and read your schedule. We do not create, change, or delete events in your calendar. Depending on the provider, we may receive the email address used for the connection, secure connection credentials stored on our servers, and event details such as title, time, and attendees.

We use calendar information only to power features you can see in Veyl — for example Today / Upcoming views and linking captures to meetings. We do not use it for ads. We do not share it with other companies except as needed to run those features, keep the service secure, comply with law, or as part of a business transfer with appropriate notice. Our team does not read your calendar content as a matter of course; access is limited to cases such as support you request, security investigations, or legal requirements.

You can disconnect or remove a calendar connection in Veyl (Manage calendars). You can also revoke access from your Google or Microsoft account settings. Disconnecting stops sync and removes our connection credentials. Meetings you captured in Veyl may remain in your account even after a calendar is removed.

Where Google Calendar is connected, the use of raw or derived user data received from Google Workspace APIs (including Google Calendar) will adhere to the Google User Data Policy, including the Limited Use requirements. That data is used only to provide or improve user-facing features in Veyl. We do not use it to create, train, or improve foundational or generalized AI/ML models, and we do not sell it or use it for advertising.

5. Service providers

We use trusted companies to help us operate Veyl. Depending on the features you use, this may include providers for hosting, database and sign-in, payments, speech-to-text, AI assists, and — if you connect a calendar — Google or Microsoft. They process information on our instructions to deliver the service, not to sell ads with your content on our behalf.

AI and speech providers we use today:

• OpenAI (API) — coaching, summaries, Ask, Compose, and related assists. We use OpenAI’s API (not consumer ChatGPT free/Plus). OpenAI states that API customer data is not used to train its models by default; we do not opt in to training.
• AssemblyAI (API) — live transcription and, where enabled, post-meeting speaker labeling on audio you capture in Veyl. AssemblyAI processes that audio to deliver speech-to-text; it does not receive Google Calendar API data from us.

Veyl does not train AI models on your personal information or meeting content. If a meeting was linked from Google Calendar, limited schedule details already stored in your Veyl meeting (such as title, time, and attendees) may be included when you use AI assists on that meeting, solely to ground the feature you requested. We do not send Google Calendar data to AI providers to train models.

6. Retention and deletion

We keep account and meeting information while your account is active and as needed to provide the service, resolve disputes, and meet legal obligations. You can archive or delete meetings in the product where those controls exist. To request account-related deletion, email support@meetveyl.com. Some records may remain for a limited time in backups or where law requires.

7. Security

We use industry-standard protections appropriate for a cloud product, including encryption in transit and access controls for production systems. See our Security page for a plain-language overview. No method of transmission or storage is completely secure; please use a strong unique password.

8. International transfers

We and our providers may process information in the United Kingdom, European Economic Area, United States, and other countries where those providers operate. Where required, we rely on appropriate safeguards offered by those providers.

9. Your rights

Depending on where you live (including the UK and EEA), you may have rights to access, correct, delete, or restrict certain personal information, and to object to or request a copy of your data. Contact us to exercise these rights. You may also lodge a complaint with your local supervisory authority.

10. Children

Veyl is not directed to children under 16. We do not knowingly collect personal information from children.

11. Recording responsibility

You are responsible for complying with recording and consent laws where you use Veyl. We do not join meetings as a bot; that does not replace your obligations to participants.

12. Changes

We may update this Policy. We will change the “Effective” date above and, for material changes, provide additional notice where appropriate. Continued use after an update means you accept the revised Policy.
